Terms of Service

These terms are the agreement between you and RentMetrics, operated by Ryan Kirkman, doing business as RentMetrics, in Colorado, United States. By creating an account you agree to them. They are written to be read, so please do.

1. The service

RentMetrics is a ledger for rental property owners. You enter your properties, rents, and expenses, or upload the owner statements your property manager sends you, and it produces cash-flow metrics, a profit and loss view, and year-end reports.

You must be at least 18 and use the service for property you own or manage with the owner’s authority. You are responsible for keeping your sign-in credentials secure and for everything done under your account.

2. Your data

Your data is yours. You give us permission to store and process it only as needed to provide the service to you, as described in the Privacy Policy. You are responsible for its accuracy and for having the right to upload any documents you provide, including information about tenants.

You also allow us to combine de-identified figures from across all customers into aggregated statistics, such as typical costs per unit in a region. We may use and publish those, and they will never identify you, your properties, or your tenants.

3. AI extraction and accuracy

Uploaded statements are read by an AI model. It is good, and we check its work against the statement’s own running balance, but it can make mistakes. Every import gives you a review step, and you are responsible for verifying the numbers before you rely on them, particularly for anything you file.

4. Not tax, legal, or financial advice

RentMetrics organizes your own figures and presents them on clearly stated accounting positions. It does not know your full tax situation. Reports, including any Schedule E package, are a starting point for you and your tax professional, not a substitute for one. Market-rent and property-value figures from third-party data are estimates.

5. Plans and billing

The free plan covers up to two rental units with no time limit. Every account can also take one 14-day trial of the paid plan, with no card required; when it ends you return to the free plan with your data intact. Paid plans are priced per unit, monthly or annual, at the rates shown on our pricing page and at checkout, plus any applicable sales tax. Billing is in advance through Stripe, and we currently support billing addresses in the United States.

  • You pay for the units you have, with a minimum of two. If your portfolio grows above the number you have paid for on an annual plan, you are charged once for the added units for the whole months remaining in your cycle. If it shrinks, the space stays yours until your cycle renews. At renewal the count follows the units you actually have, up or down. On a monthly plan the next invoice simply reflects the current count.
  • Plans renew automatically until cancelled. You can cancel any time from the Plan tab, which opens Stripe’s billing portal. Cancelling keeps your access through the period you have already paid for.
  • Annual plans are prepaid and are not refunded for the unused part of the year; you keep the capacity you paid for instead. Partial monthly periods are not refunded either.
  • If a payment fails we retry it and email you. If it cannot be collected, paid features stop and your account returns to the free plan.
  • If you think an invoice is wrong, tell us within 60 days of the charge and we will put it right.

6. Leaving with your data

Export is available for the whole of any period you have paid for. After paid access ends for any reason, including a failed payment, export remains available for a further 30 days so you can take your data with you. Your ledger itself is not deleted when a plan ends.

7. Acceptable use

  • Do not attempt to access other customers’ data or to probe, disrupt, or reverse-engineer the service.
  • Do not upload documents you have no right to, or content that is unlawful or malicious.
  • Statement processing is rate-limited to keep it available for everyone; do not try to circumvent those limits.

8. Changes and availability

We improve the product continuously and may change or retire features, and anything marked as a preview or beta may change without notice. If a change materially reduces what a paid plan includes, we will give you reasonable notice. We aim for the service to be available at all times but do not guarantee it, and we may suspend an account for non-payment or for breach of these terms.

9. Ending the agreement

You can stop using RentMetrics at any time and ask us to delete your account by emailing info@rentmetrics.co. We may close an account that breaches these terms. In either case the export window above applies to any paid access that was in effect.

10. Disclaimers and limitation of liability

The service is provided as is. We do not warrant that it is error-free or that its figures are correct for your circumstances. To the fullest extent permitted by law, our total liability to you for all claims arising from the service, taken together, will not exceed one hundred US dollars ($100), and we are not liable for indirect or consequential losses, including tax penalties or lost profits.

If a third party brings a claim against us because of something you uploaded or did in breach of these terms, for example a tenant whose information you had no right to record, you agree to cover the resulting costs.

11. Governing law

These terms are governed by the laws of the State of Colorado. If we have a dispute, we will each try to resolve it informally first by email; failing that, it will be heard in the state or federal courts located in Colorado.

12. Changes to these terms

We will post any changes here and update the date at the top, and email you before a material change takes effect. Continuing to use the service after that date means you accept the new terms.

13. General

  • These terms and the Privacy Policy are the whole agreement between us about the service.
  • If a court finds part of these terms unenforceable, the rest still applies.
  • We may assign this agreement if RentMetrics is sold or merged; we will tell you before that happens. You may not assign it.
  • If we do not enforce a term straight away, we have not given it up.
  • Notices to you go to the email address on your account, so keep it current. Notices to us go to info@rentmetrics.co.
  • If you send us ideas or feedback, we may use them without owing you anything.
